Job Summary:

Our Front Office Specialist serves as the first point of contact for patients, ensuring a welcoming atmosphere and smooth flow of administrative processes. This role requires excellent communication skills, a strong understanding of medical office procedures, and a commitment to providing exceptional patient care. The Front Office Specialist will manage patient scheduling, verify insurance information, handle billing inquiries, and provide general office support to the medical and clinical staff.

Key Responsibilities:

  • Patient Reception and Scheduling:

Greet patients in a professional and friendly manner. Answer phones, schedule appointments, and confirm upcoming appointments.

  • Insurance Verification and Billing Support:

Verify patient insurance information prior to visits and update records as necessary. Collect co-pays, deductibles, and balances. Assist with insurance inquiries, claim submissions, and billing issues.

  • Patient Check-In/Check-Out:

Manage patient check-in and check-out process, ensuring all necessary paperwork is completed, and patient data is accurately entered into the system.

  • Medical Records Management:

Maintain and update patient records in the electronic health record (EHR) system. Ensure HIPAA compliance and confidentiality of patient information.

  • Patient Communication:

Provide patients with information about services, procedures, and post-visit instructions. Communicate test results and appointment reminders as directed by medical providers.

  • Administrative Support:

Perform general office duties, such as filing, faxing, and scanning. Assist with ordering office supplies and maintaining office organization.

  • Collaboration with Clinical Staff:

Coordinate with clinic staff to ensure timely and efficient patient care. Help prepare patients for appointments and assist with patient flow as needed. Assist with patient appointments and the cleaning of exam rooms, medical supplies, and equipment as needed.

Qualifications:

  • Education:

High school diploma or equivalent required; associate degree or completion of a medical office administration program is a plus.

  • Experience:

Previous experience in a medical office, dermatology practice, or related healthcare environment is highly preferred.

  • Technical Skills:

Proficient with Microsoft and Google Platforms; experience with electronic health records (EHR) systems, particularly dermatology-specific platforms (e.g., Modernizing Medicine) is an advantage; experience with Allē and Aspire programs.

  • Customer Service Skills:

Excellent communication and interpersonal skills. Ability to manage multiple tasks in a fast-paced environment while maintaining a professional and courteous demeanor.

  • Knowledge of Medical Terminology and Insurance:

Basic understanding of dermatology terminology, insurance verification, and billing practices is preferred.

  • HIPAA Compliance:

Knowledge of HIPAA regulations and patient confidentiality.

Working Conditions:

  • This is a full-time, on-site position.
  • Normal office hours with occasional extended hours depending on patient scheduling.
  • Physical demands include sitting for extended periods and occasional light lifting.
  • Ability to stand for long periods and assist with patients during exams or procedures.
  • Ability to lift up to 25 lbs and move medical equipment and supplies as needed.
  • Manual dexterity to perform administrative and clinical tasks.
