The University of Arizona College of Health Sciences invites applications for the position of Clinical Placement Coordinator within our developing Physician Assistant (PA) program. This critical role is part of our program team, dedicated to overseeing the clinical education components essential to the success of our PA students. You will be responsible for managing student placements, ensuring compliance with accreditation standards, and fostering relationships with clinical sites. Clinical Placement Coordination:
- Oversee and manage student and clinical faculty compliance for clinical placements, ensuring alignment with program goals and accreditation standards.
- Research and recommend new clinical sites to expand and diversify clinical rotation opportunities for students.
- Coordinate student placements at clinical sites, ensuring a match between student needs and site capabilities.
- Perform regular site visits to evaluate the quality of clinical education and maintain strong relationships with clinical partners.
Compliance and Documentation:
- Maintain and monitor compliance records for students and clinical sites, ensuring all necessary documentation meets accreditation and legal requirements.
- Collect and organize data related to clinical phase activities to ensure continued accreditation compliance and facilitate program improvements.
- Track completion of clinical site documentation, including affiliation agreements, and ensure all records are up-to-date and accurate.
- Ensure student compliance by managing the collection, verification, and uploading of immunization records and required documentation.
Communication and Liaison:
- Serve as a liaison between the PA program and clinical sites, facilitating effective communication regarding student placements and program requirements.
- Notify clinical sites of upcoming student rotations and ensure that all necessary preparations are made in advance.
- Communicate with students regarding any missing documentation or compliance issues to ensure a smooth clinical placement process.
Administrative Duties:
- Create and maintain confidential student demographic records, ensuring the security and accuracy of sensitive information.
- Coordinate and maintain records of end-of-rotation exams, ensuring alignment with accreditation requirements.
- Organize and schedule meetings and appointments related to clinical education, supporting the operational efficiency of the program.
- Manage the budget for clinical site fees, processing invoices, and tracking payments.
Program Support:
- Collaborate with clinical coordinators and clinical sites to handle placement requests and other programmatic needs.
- Review and compile evaluations of clinical placements, using feedback to drive continuous improvement.
- Participate in program team meetings to stay informed and contribute to program development.
- Order medical supplies for faculty and students, ensuring all clinical needs are met.
- Assist in the coordination of clinical courses to ensure a comprehensive and effective learning experience for students.
Knowledge, Skills, and Abilities (KSAs):
- Strong interpersonal skills, with the ability to work collaboratively with students, faculty, and clinical partners.
- Demonstrated leadership, problem-solving, and organizational skills.
- Ability to manage multiple tasks in a fast-paced environment with attention to detail and accuracy.
- Computer proficiency in MS Office, Outlook, Excel, and related software.
- Bachelor’s degree or equivalent advanced learning attained through professional level experience required.
- Three (3) years of experience in clinical coordination or a related administrative role, or equivalent combination of education and work experience.
- Experience in a learning center or similar educational operation.
- Experience with budgeting and managing financial aspects related to clinical placements.
- Experience with accreditation standards and compliance requirements for PA programs.
