Administrative Assistant II, Physician Assistant Studies provides general office support while also supporting Experiential Learning (including the Clinical Education team, the Simulation Committee, and the OSCE Committee) and Didactic education. This positions oversees the use and care of the PA Studies building, including supervising student worker tasks. The Administrative Assistant II, Physician Assistant Studies serves as the technology manager for all classroom computers, SIM, active classrooms and others within the building- inclusive of the multiple academic software utilized (Sim- Ops, Exxat, PRISM, etc.).

Duties and Responsibilities
1. Clinical Administrative Support: a. Oversee all supervised clinical practice experience (SCPE) onboarding. b. Manage the clinical student SCPE rotation change log, communication of clinic-specific surveys and report requests. c. Assist Clinical Education team in maintaining student, preceptor, and SCPE site information in the clinical database (Exxat/PRISM). d. Plan and execute the annual on-site Employment Fair for clinical students, including setting up and enforcing payment from attendees. e. Select, order, and monitor the supply of preceptor thank-you gifts using university-preferred vendors. f. Track and generate CME certificates for clinical preceptors. 2. SIM Role: a. Responsible for coordinating SIM events. Act as SIM operator for software and manikins during SIM events, following faculty directives in real Time to adjust scenarios during assessments. b. Coordinate all technological needs including being the IT liaison for the area. c. Responsible for supply and equipment ordering/maintenance. d. Attend SIM committee/Experiential learning meetings with faculty to plan for the application of the SIM lab in didactic and clinical year. e. Attend simulation industry education events, including occasional travel to conferences. f. Work with instructional faculty in training use of Sim-Ops and software for SIM/OSCE events, troubleshooting equipment and software during events. g. Responsible for technology and logistics during OSCE events to include but not limited to exam room preparation. Assist with standardized patient coordination as needed. 3. Administrative Support: a. Provide department administrative support, including but not limited to answering phones, addressing student questions, building access, making copies, etc. b. Assist faculty. Provide administrative support to staff and student workers. c. Maintain student academic files and process preceptor licensing and board certification verification requests and CVs. d. Provide class/classroom support. e. Provide social media and website assistance. Represent the program on social media on the alumni Facebook page and assist the leadership with website changes, posting announcements, events, and job opportunities. 4. Didactic Support Duties: a. Prepare classrooms for lab procedure setup and take-down; create and document a standard supply order and setup process for each lab. b. Ensure that all classroom spaces are properly prepared and stocked for daily use. c. Maintain a library of lab setup guides with images and supply lists. 5. Building & Equipment Maintenance: a. Responsible for the department computer and technology program/needs. b. Monitor the condition and function of building fixtures, furniture, and non-technology equipment, including maintenance, repair, replacement, etc., as needed. c. Train student workers on technology expectations, processes, and SIM lab equipment operation.
Required Knowledge, Skills and Abilities
High school diploma Minimum of two years of related experience Excellent customer service and communication skills Excellent organizational and prioritization skills Experience with financial information and use of Excel spreadsheets Ability to organize and maintain manual and electronic filing systems Ability to maintain confidentiality Microsoft Office Suite, Adobe Acrobat Pro, Parallels Toolbox, Laerdal Suite, B-Line, Omni CMS
