Front Desk & Office Manager
Pay Range: $23.00 – $27.00 per hour
Job Type: Full-Time
Position Summary
The Front Desk & Office Manager is responsible for overseeing daily front office operations while delivering a warm friendly patient experience. This role serves as the primary point of coordination for patients, providers, and staff, ensuring efficient scheduling, accurate documentation, and smooth clinic workflows.
The ideal candidate is proactive, confident, and patient‑focused, with the ability to comfortably reach out to patients who are running late or overdue for follow‑up visits to get them scheduled. This individual takes ownership of the front desk experience and collaborates with clinic staff to support shared goals, including patient retention and Clinical initiatives. As the first point of contact, this role plays a key part in creating a welcoming environment that leaves patients feeling valued and eager to return for their next visit.
Sales or fast paced Customer service experience a plus!
Key Responsibilities
Front Desk & Patient Experience
- Greet patients with warmth and enthusiasm and manage check-in and check-out and payments
- Control schedules to ensure maximum fill rate, including, scheduling following up, confirming appointments, reminders
- Inspire brand loyalty and influence patient retention by calling patients who have missed appointments or who need follow up appointments scheduled
- Address patient questions and concerns with warmth and friendliness
- Maintain a welcoming, organized, and patient-centered office environment
- Maintain accurate and up-to-date patient records
- Process payments for patients during their visit and ensure administrative accuracy
- Operate, update, and manage electronic health records (ECW)
- Communicate updates clearly between providers, staff
- Oversee daily front desk and office operations
- Lead staff meetings and reinforce clinic policies and procedures
- Identify workflow inefficiencies and implement process improvements within scope of support
- Serve as a point of escalation for patient experience issues
- Ensure adherence to HIPAA and OSHA regulations
- Protect patient privacy and confidentiality at all times
- Monitor office processes to maintain compliance and quality standards

Qualifications
- Prior experience in a medical front desk, healthcare administrative, or office management role
- Sales experience is a plus
- Strong attention to detail and reliability
- Ability to thrive in a fast-paced healthcare environment
- Effective communication, Written and Verbal
