Full Job Description

Job Purpose:

  • The Medical Office Assistant at SMART CHOICE MEDICAL SERVICES LLC is responsible for providing administrative support to ensure efficient operation of the medical office. This role involves assisting healthcare providers with patient care and management, maintaining patient records, and ensuring a smooth workflow within the office environment.

Key Responsibilities:

  • Greet and assist patients as they arrive at the office, ensuring a welcoming and professional environment.
  • Schedule and confirm patient appointments, manage cancellations, and handle rescheduling efficiently.
  • Maintain and update patient records, ensuring accuracy and confidentiality in compliance with healthcare regulations.
  • Answer phone calls, respond to inquiries, and direct calls to appropriate personnel as needed.
  • Assist healthcare providers with patient examination preparations, including gathering necessary medical information and documentation.
  • Process insurance claims and handle billing inquiries, ensuring accurate and timely submission of claims.
  • Coordinate with medical staff to ensure timely patient flow and address any scheduling conflicts.
  • Manage office supplies and inventory, placing orders as needed to ensure the office is well-stocked.
  • Assist in maintaining a clean and organized office environment, adhering to health and safety standards.
  • Provide support in administrative tasks such as data entry, filing, and correspondence management.
Required Education:

  • High school diploma or equivalent required.
  • Completion of a Medical Office Assistant certification program preferred.

Required Experience:

  • Minimum of 1-2 years of experience working in a medical office or healthcare setting.
  • Experience with electronic medical records (EMR) systems and patient scheduling software.
  • Familiarity with medical terminology and billing procedures.

Required Skills and Abilities:

  • Excellent communication skills, both verbal and written, for interacting with patients and healthcare professionals.
  • Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
  • Ability to maintain confidentiality and adhere to HIPAA regulations.
  • Demonstrated ability to provide exceptional customer service and patient care.
  • Detail-oriented with strong problem-solving skills.
Physical Requirements:
  • Ability to sit, stand, walk, and move throughout the office for extended periods during the workday
  • Ability to bend, stoop, reach, and lift supplies or equipment as needed
  • Ability to lift and carry office or medical supplies weighing up to 25 pounds
  • Manual dexterity and fine motor skills sufficient to operate office equipment, computers, phones, and medical devices
  • Visual acuity required to read screens, documents, patient charts, and medical information accurately
  • Ability to hear and communicate effectively in person and over the telephone with patients, providers, and staff
  • Ability to tolerate a fast-paced medical office environment with frequent interruptions
  • Ability to maintain focus and perform repetitive tasks such as data entry and scheduling with accuracy
  • Ability to adhere to infection control guidelines, including the use of personal protective equipment when required
