The Clinical / Admissions Coordinator position is a full-time position. This role is a dual role, providing administrative support during the admissions cycle each year, as well as administrative support to the Clinical Team. Hours are predominantly daytime, but may include evenings and/or weekends as required. Exact schedules are determined in conjunction with the Program Director and Director of Clinical Education. All South College employees are expected to maintain professional standards, attitude, and performance levels to ensure effective, safe, ethical, and legal performance in all aspects of the position. All members of the South College community are expected to develop and maintain professional relationships with all staff, faculty, and students and exhibit positive and professional conduct.

Obligations of the Clinical / Admissions Coordinator
A. General Administrative Responsibilities:
a. Perform general clerical duties to include but not limited to: answering phone, photocopying, faxing, mailing, and filing of records electronically or as directed.
b. Serve on South College Committees as a liason as requested.
c. Develop and maintain professional relationships with all administrators, faculty, staff and students in the School of Physician Assistant Studies and other Colleges and Departments of South College.
d. Conduct oneself in a positive and professional manner as a representative of the PA Program and South College.
e. Adhere to all college policies as described in the job description, employee/faculty handbook, or other separate guidelines.
f. Maintain minutes for the Faculty and Staff committees.
g. Assist in other committees as requested.
h. Adhere to institutional requirements as outlined in Employee Handbook.
i. Attend Faculty and Staff, Clinical and Institutional meetings as assigned.
j. Other duties as assigned by the Program Director, Associate Program Director and Director of Clinical Education.
k. Communicate with alumni and assist in collection of alumni data.
l. Ability to provide supportive guidance to students.
m. Ability to prepare basic analysis and presentation of educational outcomes and trends.
n. Ability to apply basic skills and knowledge of educational and curricular organization and evaluation.
o. Serve on PA program, and if appropriate, South College committees.
p. Participate in the PA community services projects.
q. Participate in South College Student Services meetings and events as appropriate (or assigned).
B. Admissions-Related Functions:
a. Support the PA program by managing the Admissions processes.
b. Receive and process CASPA applications for admission to the PA program.
c. Create and maintain written and electronic application files.
d. Track applications during the admissions process in order to ensure compliance with admissions requirements.
e. Assist with scheduling and coordinating candidate interviews.
f. Communicate with applicants concerning application materials and application status.
g. Arrange orientation program for new students.
h. Serve as the initial point of contact for PA admissions to prospective students.
i. Maintain a calendar of all upcoming outreach events.
j. Collect, enter, and maintain contact information and statuses for prospective applicants in the apropriate database.
k. Support the Support the Physician Assistant (PA) program by managing the student recruitment program.
l. Develop and distribute material about the PA program.
m. Represent the PA program at high school and college career days and similar events as needed.
n. Plan and execute electronic promotion for PA “information sessions” to prospective students.
o. Work closely with Program Director in terms of training on admissions process and maintaining proper documents for matriculation.
C. Clinical Support-Related Functions:
a. In conjunctions with the Director of Clinical Education, credential students for standard rotations.
b. Maintain the CORE Preceptor/Site database which includes but may not be limited to:
i. Entering Preceptor Applications into CORE database.
ii. Maintaining the Preceptor Licensure database.
iii. Updating Preceptor and Practice Contact information.
iv. Maintain the Student Profile/Clinical Passport
v. Ensure timely submission of student and college credentialing documents to credentialing facilities as directed
vi. Ensure students are up to date on immunizations and certifications required for credentialing.
c. Evaluations
i. Review each preceptor evaluation per student.
ii. Report any concerns or issues with the Clinical Team
iii. Email and notify preceptors regarding student assignments and program announcements.
iv. Review CORE database weekly for new submits.
v. Document final grade and preceptor comments on grade sheet.
vi. Ensure each evaluation is recorded/entered into the CORE database.
vii. Ensure student benchmarks are being met
d. Upon receipt, complete and submit check request for each paid preceptor.
e. Maintain minutes for the Clinical Committee.
f. Communicate with students’ rotation site monthly documenting date, time of call and any issues that may call for resolution.
g. Maintain professional and courteous communication with Hospital Credentialing Staff, preceptors, students and co-workers
h. Act as a liaison between clinical rotation site and student.
i. Assist the program Director of Clinical Education with scheduling of students using Excel and CORE databases as directed.
j. Submit budgetary needs annually to Director of Clinical Education
k. Communicate with preceptors and outside parties affiliated with program.
l. Assist in preceptor recruitment and attainment.
D. Teaching and Education Responsibilities

A. Professional Responsibilities
i. Support the mission, goals, and objectives of the South College School Physician Assistant Studies.
ii. Participate in appropriate national, state, and local professional and scientific organizations as requested.
iii. Adhere to all PA Program and South College policies and procedures.
B. Complete a minimum of two professional development activities annually.
C. Education and Experience
a. Ability to communicate effectively both in writing and orally.
b. Ability to interact effectively with diverse populations of people of all backgrounds, including students, administration, faculty, and staff.
c. Ability to handle detail-oriented assignments and maintain confidentiality.
d. Ability to handle a wide range of responsibilities in the Physician Assistant program environment.
e. Ability to utilize computer applications.
