Pay: $55,000 – $65,000 per year

Balance Hormone Center provides comprehensive hormone replacement therapy and wellness services for men and women. We are a growing healthcare organization focused on compassionate, efficient, and patient-centered care.

We are seeking an experienced Office Manager to oversee the daily operations of our Scottsdale clinic and lead a high-performing team dedicated to delivering exceptional patient experiences.

Position Overview

The Office Manager serves as the operational leader of the clinic and is responsible for overseeing front and back-office operations, staff performance, patient experience, and compliance with company policies and procedures.

This role works a Monday-Friday schedule consisting of five 8-hour shifts. While the clinic is open from 8:00 AM to 6:00 PM, the Office Manager schedule may vary to support clinic operations and team needs.

Key Responsibilities

Clinic Operations

  • Oversee daily front and back-office operations
  • Ensure adherence to company SOPs and workflow efficiency
  • Monitor patient flow, scheduling, and documentation accuracy
  • Maintain compliance with company policies and operational standards

Staff Leadership

  • Hire, train, and supervise clinic staff
  • Manage employee schedules, PTO requests, and performance reviews
  • Foster a positive, accountable, and team-oriented culture
  • Partner with Human Resources on employee relations matters

Patient Experience

  • Manage escalated patient concerns and ensure timely resolution
  • Support a high standard of customer service and patient satisfaction
  • Maintain documentation of patient issues and follow-up actions

Reporting & Inventory

  • Track clinic performance metrics and key operational KPIs
  • Manage inventory, ordering, and supply levels
  • Maintain compliance logs and operational reporting requirements

Required Qualifications

  • Experience in healthcare operations or clinic management required
  • Strong leadership, communication, and organizational skills
  • Experience with EMR systems, scheduling platforms, and reporting tools
  • Ability to manage multiple priorities in a fast-paced environment
  • Proven ability to lead teams and drive operational excellence
