Position Overview

We are seeking a dependable, organized, and friendly Medical Assistant / Front Desk / Medical Records & Referrals Coordinator to join our small practice. This is a hands-on, multi-role position ideal for someone who enjoys both patient interaction and behind-the-scenes administrative work.

In our small office, teamwork is essential — you must be comfortable wearing multiple hats and helping wherever needed.

Responsibilities

Clinical Duties

  • Room patients and record vital signs
  • Update medical histories and chief complaints
  • Assist the provider during exams and procedures
  • Administer injections and perform basic lab duties (if certified)
  • Prepare and clean exam rooms

Front Desk Duties

  • Greet and check in patients warmly and professionally
  • Schedule appointments and manage daily schedule flow
  • Answer phones and respond to patient inquiries
  • Verify insurance and collect copays
  • Maintain a welcoming and organized reception area

Medical Records & Referrals

  • Maintain and update patient records in EHR
  • Scan and manage incoming/outgoing documents
  • Process medical record requests
  • Coordinate specialist referrals
  • Obtain prior authorizations as needed
  • Track referral completion and follow up with patients and specialty offices

Qualifications

  • High school diploma or equivalent
  • Medical Assistant certification preferred but not required with experience
  • Previous experience in a medical office strongly preferred
  • Experience with insurance verification and referrals preferred
  • Strong multitasking and organizational skills
  • Friendly, patient-focused attitude
  • Knowledge of HIPAA and medical terminology
