Full Job Description
Carlow University’s College of Health and Wellness is seeking a Program Coordinator for its Physician Assistant Program. This position provides administrative and organizational support to ensure the smooth functioning of the program. The role involves working closely with the Program Director, Assistant Director, and Director of Clinical Education, along with other faculty members. The Program Coordinator will be an integral part of a PA student’s journey through assisting with admissions, matriculation, didactic and clinical phases, and post-graduation support. Key Responsibilities:
Program Administration
- Manage daily operations of the PA program, ensuring efficiency and prioritizing tasks.
- Maintain strong relationships with other campus departments to support program needs.
- Develop, refine, and manage a paperless application review process and admissions workflows.
- Facilitate prospective student communication, from application through matriculation.
- Oversee operational supply acquisition and budgeting.
Clinical Coordination
- Support the Director of Clinical Education in managing clinical rotations and maintaining compliance with accreditation standards.
- Maintain relationships with clinical partners and preceptors, ensuring documentation, contracts, and agreements are up to date.
- Coordinate clinical clearance for students, including background checks, immunizations, and credentialing.
- Assist in recruiting and expanding clinical rotation sites.
Accreditation and Compliance
- Prepare and manage accreditation documents and support the program’s self-assessment.
- Maintain program and student data systems, generating reports and analyzing relevant data.
- Oversee graduate licensing and credentialing processes.
Admissions and Student Support
- Collaborate with the Program Director and Admissions Committee to develop admissions strategies.
- Manage communications with prospective and accepted students to ensure smooth transitions.
- Serve as a resource for alumni seeking licensing and credentialing assistance.
- Additional duties as assigned
Qualifications:
Education and Experience
- Bachelor’s degree required
- 3–5 years of administrative experience preferred, particularly in higher education.
Skills and Competencies
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Professional, and EXXAT Student Tracking System.
- Organizational Skills: Strong attention to detail and ability to manage multiple complex projects simultaneously.
- Communication Skills: Professional demeanor and proven ability to maintain confidentiality.
- Critical Thinking: Analytical and problem-solving skills with the ability to adapt to change quickly.
