Position Summary: The Department Assistant (Physician Assistant) is a full-time, 12 month position, that provides administrative support for the Physician Assistant Program.

Key Responsibilities:

  • Provide administrative support to faculty, staff, and students.
  • Process academic forms and schedule meetings.
  • Arrange hospitality and document meeting minutes.
  • Serve as the main program contact and assist with special events.
  • Onboard new faculty and staff.
  • Maintain student files, program rosters, and clinical education systems.
  • Organize student orientation and in-person intensives.
  • Maintain databases for alumni, preceptors, and clinical sites.
  • Coordinate student admissions and interviews.
  • Handle fiscal transactions, budget reporting, and procurement.
  • Manage faculty travel and expense reports.
  • Process HR paperwork for guest lecturers and adjuncts.
  • Perform other duties as assigned.

Qualifications:

  • Associates Degree with at least 3 years of administrative experience
  • Effective communication and collaboration skills
  • Ability to perform duties autonomously with minimal supervision
  • Strong computer skills
  • Ability to manage and prioritize multiple tasks, and successfully meet deadlines
  • Experience in higher education or an active academic setting is preferred

Physical Requirements:

  • Prolonged periods of sitting, extensive computer use, and occasional lifting or moving of light objects.
